Executive Administrative Assistant 100%

You will

  • Coordinate travel arrangements for the Senior Vice President - who travels approximate 90% of his time
  • Plan small team meetings as well as large leadership team meetings
  • Have off hour requests according to the extent of travel of the leader
  • Handle Diary & Time management for the SVP: book meetings, Video- and Telephone conferences, resolve conflicts, work across multiple time zones.
  • Screen the Executives mailbox
  • Manage the Electronic and physical filing and documentation (SharePoint)
  • Occasionally join a business trip to support Executive Leadership team meetings.


  • Your skills

    After your commercial education (or equivalent), you have gained experience as an executive assistant in international business environment, for at least 5 years.
  • Extensive experience in travel planning and logistical support
  • Higher level education highly preferred
  • Event management experience
  • Neat and friendly person - able to interact with highest senior level staff with credibility.
  • Excellent communication skills (written and oral). Fluency in English and German is essential. Clear articulation in English or German is required, as long as it is not the mother tongue
  • Reliable, proactive and highly organized yet flexible approach to work
  • Able to consistently meet deadlines and work flexibly & independently
  • Strong MS Office knowledge and negotiation skill required
