Job Description

What will I be doing?

As a Fulfillment Specialist you would be responsible for executing your position's responsibilities in alignment with our Spirit of Service culture and driving company success through performing the following tasks to the highest standards:

  • Confirms, reschedules and assists all tours with customer service for In-House Marketing Departments.
  • Ensures and delivers on marketing confirmation and batch call processes and procedures to ensure high internal and external customer satisfaction.
  • Delivers and executes all business needs to ensure tour targets for department are met and/or surpassed.
  • Manages business relationships with HGV Owners, Rental Guests, Upper management, Resort Operations and other staff members at the Sales Center.
  • Ensures all In-House Tours are confirmed day of and day prior to guest's tour time
  • Reschedules and saves tours to ensure the guest shows for their presentation
  • Demonstrates customer service based on HGV values
  • Gives directions to customer as needed
  • Provides customer transportation as needed
  • Understanding and use of VOICE and Eclipse Systems
  • Actively researches systems to ensure guests meet details of participations guidelines
  • Provides information, reschedules and determines incentives for guests that meet on site tour qualifications
  • Completes required paperwork accurately and completely for each rescheduled tour appointment
  • Follows standard In-House Marketing policies and procedures as outlined by management
  • Updates Transportation logs as needed for appropriate billing
  • Communicates transportation needs to our transportation company for customer assistance
  • Executes Daily Batch Calls at 3 HGV resorts to all un-booked customers to drive them to our desks in lobby to set appointment to tour
  • Maintains minimum show rate % on a monthly basis to ensure tour targets are met for In-House Marketing
  • Follows and adheres to cancellation process for all tours to ensure show rate policy is followed and remains in tact
  • Places their ID on all confirmed tours in VOICE to track tour confirmations correctly
